Running a business in 2025 is like trying to understand the instructions for assembling an IKEA wardrobe – only in the official language, written by an accountant after a sleepless night. In this world, mysterious abbreviations reign supreme: KSeF, JPK, VAT, OSS, NIP, and all of this is embellished with changes in regulations more frequent than smartphone updates.
So... how do you not get lost in all this, not go crazy, and still – oh my god – run a business?
KSeF – or “Please log in, but not today”
KSeF is the National System e-Invoices – a miracle of technology, the pride of digitalization, a project of the future that was to simplify life for all entrepreneurs. He had. In theory, it sounds great: you issue an invoice, upload it to the system, click – and that's it, everything is done, the office is happy, you are calm.
In practice? Logging into KSeF is like entering Hogwarts. Only instead of a wand, you need:
- trusted profile (which is not authorized today),
- Qualified Certificate (which only works when Jupiter is in opposition to Mars),
- token,
- and immortal patience and a pinch of magic from the Internet.
And yet the system can still answer briefly:
"Error 500 - please try again later",
which translated into human language means:
“Not today, not tomorrow, but stay strong.”
If by some miracle you manage to log in, a new adventure appears: Was the invoice properly approved? Because all it takes is one incorrectly entered field, a missing comma, or the fact that the client's name is "Jan Kowalski & Synowie" and the system doesn't like the "&" - and you're already in the middle of a digital escape room without a clue.
And what happens when you make a mistake?
"XML file validation error."
XML sounds like an exotic disease, but no – it's just a format that your accounting program knows, but KSeF apparently doesn't.
But don't worry - all you need to do is issue one invoice incorrectly and you'll find out what the real one is. e-adventure.
JPK – Standard Audit File, or an audit without a folder, but with a thrill
Once, the tax audit had a face. Sometimes stern, sometimes bored, but still – a human face. You would come in a suit, unfold your briefcase, pull out documents and ask questions with the seriousness of a detective in a crime series. You would sit with your coffee (with a shaking hand), trying to look calm, although you already felt that you would need some lemon balm soon… and maybe a lawyer.
And today? Today no one comes.
There is no suit, no briefcase, not even a warning that someone wants something.
There is only JPK – Uniform Control File – sounds innocent, like an abbreviation of a kindergarten fairy tale. And yet it is a digital Cerberus, which knows everything about your company, before you even have time to check anything.
You send JPK to the office – one click and... the waiting begins. It's a modern thriller:
- Will you be summoned?
- Will they notice this one invoice with a mistake from 2022?
- Will they catch that "8%" was supposed to be "23%" because the customer wanted something takeaway but ended up eating in, so the rate changed but the system couldn't keep up?
Sounds harmless? The Tax Office says the same thing.
For some time.
Because suddenly – out of nowhere – it comes call for clarification. And you stand in front of the monitor and wonder how on earth you forgot the comma next to "VAT rate: 8%", when in May 2022 you don't even remember what you had for breakfast.
And the exciting game begins:
- Who will find the mistake first: you or the official?
- Did your accounting software make a mistake too?
- Or maybe it was a system error and not yours? (Spoiler: the office will assume it was yours anyway)

VAT – the king of chaos
VAT It's a classic. Everyone knows it, no one fully understands it. Rates? They'll change. Products? Depends on whether the bun has a filling. Deductions? Only if you've been good and have the right stamp.

How not to go crazy? Here are some tips:
Befriend an accountant. Only she knows what "JPK_FA_RR" really means.
Don't believe the statement "this is the last change to the regulations." It won't be.
Don't google "do I need to use KSeF" at 2am. This won't help you sleep.
Adopt a rule: if something is working – don’t touch it. Because then he won't come back.
Forgive yourself for not understanding everything. Sometimes the Tax Office doesn't know either.
