22 Jan 2025Mandatory e-invoices from 2026 – what is worth knowing about KSeF?
In the coming years, Polish entrepreneurs will have to adapt to a new system for issuing and receiving invoices – the National e-Invoice System (KSeF). Although its mandatory implementation was originally planned for earlier dates, the Ministry of Finance announced a postponement of these dates, giving companies more time to prepare. According to the latest schedule:
- From February 1, 2026 – the obligation to use KSeF will apply to entrepreneurs whose gross sales value exceeded PLN 200 million in 2025.
- From April 1, 2026 – other entrepreneurs will be obliged to use KSeF.
What is the National e-Invoice System (KSeF)?
KSeF is a platform created by the Ministry of Finance, enabling the issuing, receiving and storing of invoices in electronic form. This system aims to standardize the invoicing process and increase the transparency of economic turnover.
Benefits for entrepreneurs
Implementing KSeF brings a number of benefits for companies:
- Simplifying accounting processes: Automation of issuing and receiving invoices speeds up document circulation and minimizes the risk of errors.
- Data security: Central storage of invoices in the KSeF system ensures their integrity and availability for the required period.
- Faster VAT refund: Entrepreneurs using e-invoices can count on an accelerated VAT refund.
- Cost reduction: Eliminating paper invoices reduces printing and archiving costs.
How to prepare a company for KSeF implementation?
To efficiently transition to e-invoicing, entrepreneurs should:
- Update your accounting software: Make sure the systems you use are compatible with KSeF and support the new invoice format.
- Train employees: Provide appropriate training for the accounting team in the handling of e-invoices and new procedures.
- Test the integration with KSeF: Take advantage of the voluntary period of use of the system to test its operation and identify any potential problems.
- Monitor the announcements of the Ministry of Finance: Follow the current information regarding KSeF to stay up to date with any changes and new requirements.
The mandatory implementation of the National e-Invoice System is a significant change in the Polish tax system, aimed at digitizing and simplifying invoicing processes. Entrepreneurs who prepare for these changes early enough will be able to take advantage of the numerous benefits of e-invoicing, while minimizing the risk of potential adaptation problems.
