Registering a business at a virtual office address

A virtual office address can be used in accordance with your agreement and the requirements of the relevant register. Check your right to use the address, your actual business activity and the handling of official correspondence.

The register depends on the legal form

Sole traders register in CEIDG. Commercial companies are entered in the relevant section of KRS. A civil law partnership has a different structure: do not assume that every business follows the same KRS procedure. The required information depends on the legal form you choose.

A virtual address does not create a new type of business. You still need to define your actual activities, PKD codes, tax arrangements and any required permits. Complete registration forms according to the facts, rather than a marketing description.

The agreement and the right to use the address

Before registering, obtain an appropriate basis for using the address. The agreement should identify the parties, location, period and permitted purpose. If it covers correspondence only, check whether it is sufficient for the intended registration.

Registration should reflect how you actually work

If an authority asks questions, you need to explain your actual business model and provide supporting documents. For example, a small company with a remote management team agrees how the operator will report an incoming letter, who will assess it and who will prepare a response. Cover during holidays is as important as entering the address in the register.

• After a change, confirm that your details are current with business partners and service providers.
